Juvonno Operations Guide – Practitioners

Overview

How it works

Our partner for digital charting is Juvonno!

To minimize disruption, we are initially implementing Juvonno solely for digital forms and digital charting. This will significantly enhance digital file management, eliminating the need for paper and will operate as a handshake with Booker. You can simply think of Juvonno as your new file cabinet. 

Your Juvonno Schedule

By default, your schedule in Juvonno will appear like you are continuously available. It’s important to note that your work schedule remains controlled within the Booker app so please refer to Booker to view your availability. Additionally, blocks created within Booker will not populate in Juvonno.

 

Record Keeping

The date, time, duration and fees for every appointment must be recorded in the clients health record, but clinics can choose how and where they document this information, as long as it is documented in an organized, legible and retrievable way. Having a record of this information available and accessible across Booker and Juvonno meets these criteria.

Here are the required records and where they can be found within our system.

RMTs must maintain the following records:

  • A daily record with the name and appointment/treatment time of each client, which can be found in Juvonno

  • Personal health record for each client, which can be found in Juvonno, and

  • Financial records for each client

The financial record, which is available in Booker, is required for each client and contains the following required information:

  • the treatment and service provided, including the duration

  • fees charged

  • a copy or record of receipts, which must include:

date of appointment

name of the client

name of RMT

cost/fee for the treatment or service

signature and registration number of the RMT (Ontario Only)

GST/HST number (if applicable)

 

     

    How do Appointments Show in the Calendar

    Appointment Status

    Once the client has arrived in the clinic, the client should be checked in following the same process. Once the client has been checked in through Booker, the status change will populate over to Juvonno immediately. 

     

     

    Once you’ve checked the client in on Booker, the appointment will show as Arrived.

    When the treatment is paid for in Booker, it will show as Completed

    Any appointments that are cancelled in Booker will show as Cancelled.

    Appointments that are closed as No Show-Don’t Charge will appear as No Show.

    Once you’ve checked the client in on Booker, the appointment will show as Arrived.

    When the treatment is paid for in Booker, it will show as Completed

    Any appointments that are cancelled in Booker will show as Cancelled.

    Appointments that are closed as No Show-Don’t Charge will appear as No Show.

     

     

    Dashboard

    Dashboard is a centralized hub showcasing your appointments, charts, personalized statistics. This guide offers a comprehensive overview of the Dashboard and its functionalities. This is your default landing page when you log into Juvonno. You can find the Dashboard by selecting the Dashboard icon on the sidebar menu. 

    My Day Tab

    The ideal solution for viewing your own schedule, uncharted appointments, and appointment details. 

    Appointment Details

    Select an appointment for a detailed view displayed to the right of the schedule.

    The left section will list Client Profile demographics, such as their name and date of birth and will also display links to the profile's Notes and/or Warnings when applicable.

    Click the client's name to open the Patient Lookup, and the appointment icon to view the patient's appointment history. 

    The right section displays appointment-specific information such as the date, time, or duration. A link to either Create or View the appointment's chart (depending on its current charting status) displays here as well.

    Select the menu icon at the top-right of the panel to view a shortened version of the Appointment menu. 

    Instantly Refresh Your Schedule

    When viewing your schedule under the My Day tab, instantly update and monitor upcoming appointment statuses and any changes to your agenda. This ensures you have the most current information at your fingertips with just a click.

    Uncharted Appointments

    Uncharted appointments are triggered when a client is checked in on Booker. The most recent three uncharted appointments will display on the top-right. Select an appointment to view its details in the appointment panel below and start charting.

    Charts

    Charts for the patient that's currently loaded into the Appointment panel will display below, along with the author of the chart, chart date, appointment date and the status of the chart.

    Schedule

    Select from either the Day, Week or Month view of your schedule

    Day view will display a full-width view of the schedule, one day at a time. This is the recommended view for practitioners that regularly have multiple appointments in the same period.

    Week view will display either 5 or 7 days depending on if weekends are hidden in the tab's settings. 

    Month view displays the first three appointments per day, followed by a count of additional appointments not displayed, that when clicked, links to the date's Day view.

    Charting

    The Charting tab allows you to effortlessly access all of your charts in one window. From here, you can continue charting with a single click and utilize sorting and updating tools to Filter charts by Status and bulk Complete or Lock charts.

    Your list of the most recent appointments that have not been charted for:

    Statistics

    Live stats are based on your own appointments, invoices and patients seen. Hover over the help icon for details on how each statistic is calculated.

    Health History Form

    Reviewing the Health History Form

    1. Select the appointment of the client whose Intake you need to review
    2. Click Intakes in the Appointment Details box from the Dashboard

    3. Click the to select an action

    4. Select Open Intake in a New Tab

    Setting a Health History Form as Completed

    1. Once you have reviewed the clients Health History form and are satisfied with it, click and select Complete Intake. 
    2. The system will confirm you want to complete and lock the form. It is the responsibility of all practitioners to review the Health History Form for completeness and mark it as completed. 
    3. Once you have locked the form you will no longer be able to make any edits. 

     

     

    Charting

    How to Create a New Chart

    From inside your Dashboard, you can create a new chart from the follow locations:

    Appointment Details

    From inside the Appointment Details, you'll have the option to Add Chart

    The Charting Tab

    Here you will find a complete filterable list of all of your charts and any uncharted appointments. Select the button then New Chart beside any uncharted appointment.

    Once a chart is started, it will be stored as In Progress until you select completed or lock the chart. You will be able to delete the chart until it is Locked.

    Once open, you will select the appropriate Charting Template. 

     

     

     

     

     

     

     

    How to Continue a Chart in Progress

    From inside your Dashboard, you can continue charting from the follow locations:

    Appointment Details

    From inside the Appointment Details, you'll have the option to Continue Chart if you have a chart that is already in progress for that patient

    The Charting Tab

    Here you will find a complete filterable list of all of your charts and any uncharted appointments. Select the button then Continue beside any In Progress chart. 

    Once the chart is open select Continue Chart

    Charting Key Features

    While charting, there are a few key features you can add to enhance and simplify the experience. These
    features include the following: 

    Auto-Save

    While charting, your chart will auto-save each time you click outside of the Notes section or another text box. You'll know the Auto-Save is working when you see this notice on screen 

     

     

     

     

    Important: Auto-Save does NOT work with drawings or signatures. If you're using these features, you must click into and out of a text field in order for the Auto-Save to activate.

    Rich Text

    The Notes section of your charts have Rich Text enabled allowing you to bold, italicize, underline and change the color of any text

    Pain Scale

    Inside any chart, you can set the patients Pain Scale using the dropdown menu. Pain scale is a mandatory part of each Chart Note. You will have to select an answer every time you complete a new chart. 

    Completing or Locking a Chart

    To save any chart, select Complete & Close. Doing so will allow you to come back later to finish the chart or make any additional edits. The chart will remain In Progress until you lock the chart.

    To lock a chart, select the checkbox beside Lock Chart then select Complete & Close. Doing this will lock the chart from any further edits but still allows you to leave additional notes if needed. You should not lock any charts that you have not completed yourself. Any notes that are left on the chart will be included as an addendum to the chart and should always be clinical in nature. 

    Tip: Each edited chart that has been Completed will create a new version. The most recent version will be defaulted as the current version and will be selected when exporting to PDF. 

    As soon as a new chart is started/edited, it will be auto-saved as In Progress. If the chart remains in Progress during the editing and saving of the document, you will not have multiple versions of the chart. However, if you complete a chart and edit once or more you will get additional versions of the chart based on the edits.

    Once a user selects Complete & Close on a chart, it will be saved as Completed.

    If a completed chart has been edited, and has not again been Completed, it will be saved In Progress with the new edits. At this point the user can delete these edits to revert back to its previous state, or it can be Completed to set the status that way.

    To secure the chart and prevent any further edits, your chart notes should be Locked. Should you need to add additional clinical information, you can add a note to a Completed and Locked chart.

    As soon as a new chart is started/edited, it will be auto-saved as In Progress. If the chart remains in Progress during the editing and saving of the document, you will not have multiple versions of the chart. However, if you complete a chart and edit once or more you will get additional versions of the chart based on the edits.

    Once a user selects Complete & Close on a chart, it will be saved as Completed.

    How to Delete a Chart

    Inside the Charting Tab of the Dashboard, the clients’ charts will appear listed. Click the down arrow beside any chart and select Delete Version In-Progress 

    Or if the chart is Completed, select Delete Chart

    Accessing Support

    While logged into your Juvonno system select the Question Mark icon/down arrow to access the Live Support Chat and Help Center. Feel free to browse the Juvonno user guide to become a Super-User!

    Massage Addict Digital Charting Policy

    This policy outlines the procedures and guidelines for digital charting within Massage Addict, ensuring the accuracy, confidentiality, and security of Client records in compliance with Canadian healthcare regulations and applies to all Franchise Partners, employees, contractors, and practitioners involved in the provision of massage, chiropractic, acupuncture, and reflexology services at Massage Addict.

    Digital Charting System:

    • Massage Addict will use Juvonno for all treatment records.
    • Treatment records in Juvonno may consist of client health history forms, consent forms, copies of reports received by practitioner, discharge notifications and notes.
    • Administrative forms kept in Juvonno may consist of membership agreements, health benefits assignment forms, and release of record consent forms.

    Access and Security:

    • Access to Juvonno is restricted to authorized personnel only.
    • Each user must have a unique login ID and password, which must not be shared.
    • Passwords must be changed every 6 months.
    • The system will automatically log out users after 60 minutes of inactivity.
    • Juvonno will only be accessed in clinic on designated Juvonno devices.

    Data Entry and Accuracy:

    • All entries must be made in real-time or as soon as possible after the client interaction.
    • Practitioners must ensure that all information entered is accurate, complete, and up to date.
    • All charting is to be “Locked” upon completion.  Any corrections or amendments must be made using the “Note” function which will provide a date/time stamp complying with digital charting regulations.

    Confidentiality:

    • Client information is confidential and must be protected in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA).
    • Unauthorized access, use, or disclosure of client information is strictly prohibited.

    Record Retention:

    • Digital records must be retained for a minimum of 10 years from the date of the last entry or as required by provincial regulations.
    • Records of minors must be retained for 10 years after they reach the age of majority.

    Training:

    • All staff must receive training on the use of Juvonno and the importance of maintaining confidentiality.

    Audit and Monitoring:

    • Any breaches of this policy will be investigated, and appropriate corrective action will be taken.
